Preferences

Preferences are the settings in Dime.Scheduler that belong to you rather than to your organization. Everything here affects only your own account, and nothing changes what anybody else sees.

They live on two different screens, and it helps to know which is which:

  • Set up your account is a one-off page you are sent to automatically after signing in, as long as your language or time zone is still missing. It asks for those two things and nothing else.
  • Preferences is the page you open yourself, from the menu under your name in the top bar. It holds the same two settings so you can change them later, plus your Exchange synchronization preferences.

Set up your account​

When you sign in and either your language or your time zone is not set yet, Dime.Scheduler shows a page headed Set up your account before it lets you into the planning boardPlanning boardThe main graphical scheduling surface where dispatchers drag tasks onto resources across a timeline.. Pick a Language and a Time zone from the two dropdowns and click Save. You are then taken into the application, and the page does not come back unless an administrator clears those values again.

Time zone is the one worth thinking about. It decides how every appointmentAppointmentA task scheduled to a resource for a specific period - the scheduled instance you see on the planning board. time is rendered for you, so a planner in Brussels and a dispatcher in Denver looking at the same appointment each see it in their own local time. Setting it wrong does not move anything in the schedule, but it makes every time on your screen wrong by a fixed offset, which is a confusing way to work.

Preferences​

Open the menu under your name in the top bar and choose Preferences. The page has a Save button in its toolbar and two cards underneath, General and Exchange. Nothing is stored until you click Save.

General​

Your Language and Time Zone again, the same two settings from the set-up page. Change them here whenever you need to.

Sign out for these to take effect

Language and time zone are applied when your session is established. After you save a change to either, a banner reminds you to sign out and back in; the interface keeps its old language and time zone until you do.

Exchange​

If your organization lets resourcesResourceAn entity that can carry out work - a person, vehicle, tool, or room - that you schedule on the planning board. manage their own Exchange synchronization, this card is where you do it. It controls which appointments from your Exchange calendar flow back into Dime.Scheduler.

A user account can be linked to more than one resource, so the card shows one block per linked resource. The header of each block names the resource, with its resource numberResource numberThe identifier a resource carries in the back office. Time entries and other records are keyed on it, so a resource created by hand without one cannot have time registered. and email address underneath, and carries the Exchange Integration Enabled checkbox that turns the synchronization on for that resource. Below the header sit two lists of checkboxes:

  • Show asShow asThe Outlook free/busy status of a calendar event: Free, Tentative, Busy, Out of office and so on. The Exchange settings pick which statuses are allowed back into the planning. selects which free/busy states are synchronized.
  • SensitivitySensitivityThe Outlook sensitivity level of an event: Normal, Personal, Private or Confidential. Together with show as, it filters which Outlook events reach the planning board. selects which sensitivity levels are synchronized.

Together these filter your own calendar. An event that does not match what you tick stays in Exchange and never reaches the planning board, which is how you keep a private appointment private while still letting the genuinely blocking ones show up as time you are unavailable. While Exchange Integration Enabled is unchecked, the two lists are dimmed and cannot be changed.

What you see pre-selected is your organization's default. The administrator sets those defaults, and decides whether resources may override them at all, on the Exchange setup; the choices on this page replace the defaults for your resource only.

Two messages explain the cases where the card has nothing to offer:

  • The administrator has disabled access to your Exchange preferences. Your organization has chosen to apply one set of synchronization settings to every resource centrally. There is nothing for you to change here.
  • Your account has not yet been associated with one or more resources. Your user account is not matched to a resource that has the Exchange integration, so there is no calendar to synchronize. The link is made by email address, so this usually means the address on your user account and the one on your resource record differ.
